Bundled versus focused, for a 300 unit property
Bundling makes real sense when you are standing up an operation from scratch. One vendor, one contract, one place to call when the rental page stops taking cards. Plenty of independent owners are best served that way, and it is a legitimate way to buy software for a property that has to be running by the first of next month.
The case for a focused tool starts when parts of your operation already work. If your site brings in calls, your photos are good, and your local listings are dialed in, replacing all of that to fix a gate problem is a lot of collateral change. GateCodeDesk plugs into what you already have: an embeddable rental flow and availability map on your existing pages, and the code and lockout logic behind them.
What to test on a Sunday afternoon
Sunday is when unattended operations either pay for themselves or cost you a unit. Someone is towing a trailer, they need a 10 by 20 today, and they will rent from whoever can hand them access in the next ten minutes. Run that scenario against every candidate with a real card and a real phone, and watch how long it takes from landing on the page to a working code.
Then run the ugly version. The card declines. The tenant retries with a different card. Does the code still issue on the successful attempt, and does the system leave a clean record of both attempts? Small operators lose more money to the half completed rental than to any missing feature, so make each vendor show you that path.
Switching cost is mostly data and gate wiring
The migration work is nearly identical no matter which direction you move: export units, sizes, tenants, billed rates, paid through dates, and insurance or protection plan status, then reconcile against the last bank deposit. Budget a day for that reconciliation and do it before your billing date, not after.
The part people underestimate is the gate. Whoever installed your controller may or may not still be in the picture, and the credentials to reach it are often on a sticky note in a drawer. Find those before you schedule the cutover, and confirm with any vendor how they push code changes to your exact controller model.
